PLM for small fashion brands: what you actually need
PLM (product lifecycle management) software keeps a brand's product data in one place from idea to purchase order. Large brands run big PLM systems with long projects. A brand of 5 to 50 people needs something smaller, faster and cheaper, and the choice is mostly about what to leave out.
When spreadsheets stop working
Most brands start with spreadsheets, tech packs as PDFs and a lot of email. It works for a few seasons. These are the usual signs it has stopped working:
- Nobody is sure which file has the current price of a style
- A fabric price changes and only some cost sheets get updated
- Purchase orders are typed again from the line plan, with mistakes
- Suppliers ask the same questions in five email threads
- The season's margin is only known after the orders are placed
- One person holds the whole season in their head, and holidays are a risk
If three of these sound familiar, a shared system will save more time than it costs.
What a small brand actually needs
| Need | Why it matters |
|---|---|
| One record per style | Colours, sizes, materials and prices in one place everyone trusts |
| Live cost and margin | Know the margin while you can still change the design |
| The line plan | Every style's status, owner and deadline for the season |
| Purchase orders from product data | No retyping, in the supplier's currency |
| Sizes, SKUs and barcodes | Ready for wholesale, webshop and warehouse |
| Supplier access | Suppliers see their own styles and orders, nothing else |
| Passport-ready data | Composition, manufacturing and certificates per variant for the EU Digital Product Passport |
What you can usually skip
Enterprise PLM systems also handle things a small team rarely needs yet: multi-brand hierarchies, complex approval workflows across departments, deep CAD integrations and custom reporting projects. They often take months to set up and need a consultant to change. Paying for that before you need it slows the team down.
Questions to ask before you buy
- How long until the first collection is in? Days, or a project measured in months?
- Who sets it up? Your own team, or an implementation partner?
- What does it cost per person, and are viewers and suppliers free?
- Can you try it with your own collection first?
- Can your data get out again? Exports, an API or an MCP connection.
- Does it work with the AI assistants your team already uses?
